Editing course availability for each student

Editing course availability for each student

Hello everyone,

I'm a new Moodle user and first time to the forum.  Thanks in advance for any help.

I have multiple courses in which I would like to make available to each trainee on specific dates.  I manually enroll trainees and when I click to edit them after enrollment, I set the day and time I want it available to them.  However, the course never shows up at the time requested. I think I'm missing something pretty simple.  We do all of our training as SCORM modules so maybe that has something to do with it?

1.  Check your time zone settings...

2.  Check your course start date...

2.  "when I click to edit them after enrollment, I set the day and time I want it available to them" - is the enrollment active?  Is the box checked to enable the time and date setting?  Is the end date after the start date?

Hello Emma,

Thank you for the reply.  Being new to this, I really appreciate the support.

In regards to your reply, #1 the time zone is correct (Eastern - US).

#2 I noticed that on my SCORM settings, I have not enabled availability (it is greyed out). Perhaps the course needs to be available (say Jan1 to Dec 31) and that will affect availability for each user. I am able to enroll trainees in the course so far without that being set.

#3 I have been struggling a little with this part.  We manually enroll users into courses and I can edit them from there including the time and date setting. However, we have users who need to take the same training 6 months after completion and I have been told not to un-enroll them.  If I set them up in the future to take the training again, it does not show up.  Maybe the course is not "active" since they have completed it already?

Thanks,

Jason

The Scorm availability is totally separate to the course enrollment so that does not affect anything except them getting into the Scorm activity.  I think you are maybe confusing course with activity?  Members are enrolled into a course where they can take a Scorm activity.  Is it the course or the activity that is not showing up?  If it is the Scorm activity that is not showing up, that is indeed due to your Scorm availability settings.   If the students enrollment in the course is limited correctly, then the Scorm activity should be open with no time restrictions.

Your re-enrolment six months later is going to cause problems however.  Their previous interaction with the course and the activities will not go away so any completion data will remain with the student.

So, when you say the course is not active, are you referring to the Moodle course or the Scorm activity?

I would recommend, creating a copy of the course for those that need to retake it.  That way you have separate records for each time that they take the course.

Hi Emma,

Great progress from your reply.

I set up a new test user w/no history and set up multiple lessons at different times and everything ran perfectly. Your reply also helped clear up the SCORM vs. Course confusion I was having.  Our SCORM lessons have always run when the course was available.  I think the system was getting hung up on the re-enrolment issue.  I am very interested in your recommendation of copying the course.  I will do some research on that but I assume it is accomplished in the Backup section in courses?  I would greatly appreciate any head start you could give me with that and thanks again for your previous posts.

Glad that you are getting closer.  You can either just backup and restore (https://docs.moodle.org/30/en/Course_restore) the course to a new course or you can do a course upload with csv (https://docs.moodle.org/30/en/Upload_courses)and use your original course as a template (this is useful if you have a bunch of courses to do at once).
