NED - Mentor Manager

Blocks ::: block_fn_mentor
Maintained by Fern Oliveira
Part of set NED.
With this block, the admin (or designated user) can assign mentors to students. Mentors can then access easy-to-read “progress reports” for their mentees. The admin (or designated users) can also create automated notifications that are sent to teachers, mentors or students based on pre-selected criteria (example: notification is emailed to mentor and student if student has not logged in for 7 days).

This block provides a user-friendly way of pairing mentors with students. Currently, Moodle does not have an effective way of managing the mentor role. By using this block, parents, tutors, or other “helpers” are able to track the progress of particular students across multiple courses. The block exists at the site level. When a mentor logs in, his/her mentees (students) are listed inside the block. When the mentor clicks on the name of a student, a progress report is shown. This report includes grades, submissions, feedback, etc. from all relevant courses. Along with defining mentors and mentees, administrators can also create “notification rules” that are automatically sent (email or SMS) to teachers, mentors or students based on pre-selected criteria (example: send email notification to mentor and student if student has not logged in for 7 days and grade is less than 50%).

Feedback on testing - We tested the notifications and as near as we can tell, it sent an e-mail out to every account holder whether they were set up in a mentee or mentor relationship. What we tried to set up to test it with was a mere two families. We do already have Parental Access in place, so at first I assumed that it was crossing over and pulling in those mentors/mentees that we had set up separately. However, several that got the notification didn't have either role set up even in our original Parental Access. I am pretty sure I followed the directions carefully, but I would be glad to get some screenshots of the settings if needed. If you have any ideas of likely places I might have messed up to focus on, let me know.

Hi Tammy, as I mentioned, this problem occurs because you have both the Mentees block and the Mentor-Mentrees block installed. They do not play nice together. You'll need to uninstalled the Mentees block to resolve this issue.

Thanks for the great block Fernando.
I have one thing I can not figure out. Teachers who are not assigned mentor role can see the block if any of their students are in the mentee list. They can see their own students and their mentors. Is this how it is supposed to work? and is there a way to hide the block from users if they are not mentor or mentee?
    thanks.

Are there any printable reports, with a whole group of mentees listed? This would be very helpful.

Hi Samet, yes, this is by design. Teachers are meant to see the mentor/mentee relationships in their courses. If you really needed to hide it, I suppose you could create a "Hide Mentor Block" role and use it hide the block from selected users. I will consider adding this function to the next upgrade.

Thanks for the reply. Even still, this is going to be such a help. Another question. When I get a report via email, it includes last names only? I assign families to the same mentor, so this is confusing. Any suggestions?

Email reports include the First and Last name of the student. Not sure why you'd be experiencing this problem. Are you running the latest version?

I think I am. I will check. Also, a teacher that isn't a mentor see my list. What are the permissions for viewing the block?

Is there any way to base the status on course completion requirements that are not tied to a grade? I have courses that only require passing a scorm activity or visiting a URL. For this reason the block still shows a red block next to a mentees name even though they are completed with all courses they are enrolled in.

I seem to be having problems with the implementation of this block. My student can see a link to their own profile and to the mentor's profile within the block. However, on clicking the mentor's name, they are presented with an error message: "The details of this user are not available to you". I have checked permissions and set the student to be able to view user profiles, but this has still not allowed them to view their mentor's profile. Is this a bug or am I doing something wrong?

    Hello Fernando.
Can we limit the access to only one category?
    Best regards

    Hi Fernando,
I Install the plugin, but when the mentor login the site, he can't see the block, he have to install the block in his own dashboard. Is this normal?

    Hello Martín,
Hard to tell what the problem is from the info that you provided, but the dashboard can be a tricky thing to manage for all users. You may find this tool helpful: https://moodle.org/plugins/tool_resetmymoodle. Also, keep in mind that only mentors, mentees (as defined in the block) and teachers are able to see the block. Hope this helps.
