Can't figure out how to set permissions

We are trying to set up accounts so that there is one person over a group of teachers and students.

The same class will be taught over and over, sometimes many sessions at one time. Sometimes the admin will over see 1 teacher or sometimes they will oversee many teachers.

There will be lots of sessions of learners who are to be overseen by teachers and those teachers should be overseen by their regional administrators.

So it is like many pyramids.

We are trying to figure out the best, most efficient way to set up our system.

There are two general approaches for using the same course several times.
  1. Groups: you put each Teacher and their Students (and any supervisors) in different groups, and put the course into Separate groups mode.
  2. You make several different copies of the course, by backing up the course without user data, and then restoring it as a new course. That way each teacher has their own copy of the course, with just their own students enrolled in it. This also lets the teachers customise the course if they want.
2. is slightly more work to set up, but probably gives better results in the long run.

Because you have specialised roles, like Overseers, you will probably also need to read up on Moodle's Roles and capabilitie system. For example, from your description, it sounds like if you take Option 1, you want to take the 'View any group' capability away from your teacher role.

Since you're in the U.S., you've got FERPA issues. So, I recommend taking Tim's #2 approach. That way, the admins only go into the classrooms/courses where they have teachers and students.

One more item. We tend to run 20 identical classrooms of one course. We know that 2 or 3 supervisors always oversee this one course. So, we put those supervisors in the backup of the course and, when we restore the course, we delete them from the specific classrooms they won't be overseeing.

It's one click to unenroll a user. It's a search and a click to add a user.

Unless, as Tim would surely point out, you enroll your admins and teachers using a file smile
